Five Cornerstones of a PT Contract

1. Clear Goals and Expectations

The biggest source of conflict between PT and client is unclear goals. Write it specifically:

Instead of "Better shape" write "Lose 10 kg by June 15th and run 5 km under 30 minutes."

Instead of "Stronger" write "Bench press 80 kg for 5 reps and do 10 pull-ups by September 1st."

Instead of "Healthier lifestyle" write "Train 3 times weekly for 12 weeks, plus measure weight and measurements every 14 days."

Specific goals create both accountability and motivation.

2. Session Structure and Content

Define clearly what a session includes. A standard 60-minute session typically consists of 5-10 minutes warmup and assessment, 40-45 minutes main training, plus 5-10 minutes cooldown and next steps. Program updates are delivered within 48 hours.

Be specific about inclusions and exclusions. Should programming between sessions be included? What level of nutrition advice do you offer? What time limits apply for WhatsApp support? How often do you measure and photograph?

3. Milestones and Progression

Clients love seeing progress. Structure it with clear phases:

Month 1 is about establishing baseline and routine. Here measurements and photography are taken, movement assessment is done, the first program card is created, and habit tracking begins.

Months 2-3 focus on adaptation and challenge. Re-measurement after 30 days, program progression, nutrition adjustments and mental coaching come into the picture.

Months 4-6 are about optimization and mastery. Advanced techniques are introduced, the client learns independent training, maintenance plan is developed and next phase is planned.

4. Payment Structures That Work

Different models suit different clients:

Package payment is most common. 10 sessions cost 6,500 DKK (650/session), 20 sessions cost 12,000 DKK (600/session), and 30 sessions cost 16,500 DKK (550/session). Payment is upfront, and packages are valid for 6 months.

Monthly subscription provides predictability. Bronze with 2 sessions weekly costs 4,800 DKK/month, Silver with 3 sessions costs 6,800 DKK/month, and Gold with 4 sessions costs 8,500 DKK/month. Programming and support are included.

Result-based payment is the advanced model. Base amount of 3,000 DKK/month, milestone bonus of 1,000 DKK, big bonus at goal achievement of 5,000 DKK, and refund if no progression.

5. Terms and Expectations

Cancellation policy must be crystal clear. 24-hour notice gives free rescheduling. Under 24 hours triggers 50% charge. No-show means full charge, with force majeure as the only exception.

Mutual obligation means the client comes prepared and motivated, while the PT delivers professional service. Both respect agreed times and communicate openly about challenges.

Client wants money back after 5 sessions because "it's not working": Contract specified 12-week minimum for assessment.

Cancellation of 3 sessions in one week: 24-hour notice policy saves income.

Family claims money owed refunded after client stops: Contract with clear refund policy makes it simple.
